Protecting your privacy and your baby’s information

At Tiny Ties by Ashleigh your privacy is very important. Your personal and clinical information is stored confidentially and only information required to provide safe, high quality care for you and your baby is stored.

Clinical recordings

Occasionally, during your appointment I may make audio recordings while I explain my assessment and recommendations. This allows me to give my full attention to you and your baby while ensuring an accurate clinical record.

Recordings will be securely transcribed within 48 hours, a copy of the transcription will be emailed to you and the original recording will then be permanently deleted.

Why information is collected

Information is collected in order to:

  • Provide safe and effective surgical care

  • Communicate with you about appointments and follow-up care

  • To audit and monitor services so that the best care is provided

  • Fulfil legal, regulatory, and clinical obligations, including compliance with UK GDPR and guidance from the Information Commissioner’s Office (ICO)

Why information may be shared

Your information will only be shared when it is necessary, appropriate, or required by law. This may include:

  • With another healthcare professional involved in yours or your baby’s care (such as your GP or hospital team), where it is necessary for your safety or ongoing care.

  • Where I have a legal or safeguarding duty to share information.

  • If requested by a regulatory body (such as the CQC or NMC) as part of an investigation into my practice.

  • If a complaint or clinical incident is investigated, relevant information may be shared with Clinical Governance & Support Services (CGSS), who provide an independent review of concerns and complaints.

How your information is stored and protected

  • All personal data is securely stored in encrypted, password-protected files. Appropriate security measures are in place to protect your information from unauthorised access or disclosure.

  • Your personal information will never be sold.

  • Information will never be shared with third parties for marketing purposes.

  • Tiny Ties by Ashleigh (registered as Tiny Ties Ltd) is registered with the Information Commissioner’s Office (ICO) and ensures all clinical records are stored securely and managed in accordance with UK data protection legislation.

How long your information is stored

In line with NHS and Care Quality Commission (CQC) guidelines, your baby’s health records are retained until your child reaches 25 years of age.

Feedback

Following your appointment, you may receive an email inviting you to complete a confidential feedback questionnaire. This is managed independently by Clinical Governance & Support Services (CGSS) to help ensure feedback is impartial and to support continual improvement of Tiny Ties by Ashleigh services.

Your rights under GDPR

You have the right to:

  • Access the personal data held about you and your baby

  • Request corrections to any inaccurate information

  • Request deletion of your data, subject to legal retention requirements

  • Object to certain uses of your data

  • Lodge a complaint with the ICO if you believe your data is mishandled
